Collections
Create and manage product and service collections that your AI can showcase to customers in conversations.
Collections let you put your products, services, or any curated content right inside customer conversations. When someone asks "What do you sell?" or "Show me your options," your AI can pull up a beautiful carousel of items—complete with images, descriptions, and action buttons.
Think of collections as a mini storefront inside your chat. Customers can browse, tap, and take action without ever leaving the conversation.
Why use collections?
- Showcase products in chat — Customers see items as visual carousels, not walls of text
- Let AI do the selling — Your agent finds and presents the right items based on what customers ask for
- Keep everything in one place — Manage your catalogs from the Cloodot dashboard
- Import in bulk — Upload a CSV to add hundreds of items at once
- Sync from Shopify — Already on Shopify? Your collections can sync automatically (beta—contact our team for access)
Getting there
Go to Intelligence → Collections from your dashboard. You'll see all your collections and can create new ones from here.
Creating a collection
- Click Create Collection
- Give it a name (e.g., "Summer Sale" or "Our Services")
- Add an optional description to help your team know what it's for
- Save it
That's it—you now have a collection ready for items.
Collection names must be unique within your workspace. Choose something descriptive so your team can find it easily.
Adding items to a collection
Each item in a collection can have:
- Title — The name of the product or service (required)
- Subtitle — A short description, price, or details
- Image — A photo of the product or service
- Buttons — Up to 2 action buttons (like "View Details" or "Buy Now")
Adding items one by one
- Open the collection
- Click Add Item
- Fill in the title, subtitle, and other details
- Add buttons if you want customers to be able to take action
- Save
Importing items from a CSV
Got a spreadsheet of products? Import them all at once.
- Open the collection and click Import
- Upload your CSV file (up to 10 MB, up to 1,000 rows)
- Map your columns — tell Cloodot which column is the title, which is the description, and so on
- Review the mapping and start the import
- Watch the progress as items are added
Your CSV can include columns for: title, subtitle, image URL, media type, and up to 2 buttons (each with text, type, and value).
If your CSV contains items that already exist in the collection, you can choose to skip duplicates or update them with the new data.
Syncing from Shopify
Shopify collection sync is currently in beta. Contact our team to get access.
If you've connected your Shopify store through Settings → Integrations, your Shopify collections and products sync into Cloodot automatically. Each product becomes a collection item with its name, description, price, image, and a "View Product" link.
Synced collections are linked to your integration—you'll see them alongside your manually created ones.
How your AI uses collections
This is where it gets powerful. When a customer asks something like:
- "What phones do you have?"
- "Show me your dessert menu"
- "Do you have anything under $50?"
Your AI searches your collections, finds the most relevant items, and presents them as a visual carousel in the conversation. Customers can scroll through items, see images and descriptions, and tap buttons to take action.
The search is semantic—it understands meaning, not just keywords. So "affordable laptops" will find items even if the word "affordable" doesn't appear anywhere in your data.
Collections work automatically with all your AI personas. No extra configuration needed—if you have collections, your AI can use them.
Item details
Images
Add product photos to make your items stand out. Images must be:
- HTTPS URLs (no http)
- PNG or JPEG format
A good image makes the difference between a customer scrolling past and stopping to look.
Buttons
Each item can have up to 2 buttons. There are two types:
- URL — Opens a link (great for "View Product" or "Learn More")
- Postback — Sends a message back to the conversation (useful for "I'm interested" or "Add to cart")
Managing collections
Editing a collection
Click on any collection to change its name or description. You can also add, edit, or remove items from here.
Editing items
Click on any item to update its title, subtitle, image, or buttons. If you change the title or subtitle, the item gets re-indexed so your AI can find it with the updated information.
Deleting
You can delete individual items or entire collections. Deleting a collection removes all its items too.
Deleting is permanent. Once a collection or item is gone, your AI can no longer show it to customers.
Plan limits
The number of collections you can create depends on your plan:
| Plan | Collections |
|---|---|
| Free | 1 |
| Starter | 1 |
| Professional | 3 |
| Enterprise | 10 |
There's no limit on the number of items within each collection—add as many as you need.
Tips for great collections
Write clear titles
"iPhone 15 Pro Max 256GB" is better than "Product #4829." Customers see these titles, and your AI uses them to match search queries.
Add descriptive subtitles
Include key details like price, size, color, or availability. This helps customers make decisions and helps your AI find the right items.
Use quality images
A clear product photo builds trust and makes your carousel look professional. Make sure your image URLs are accessible and load quickly.
Keep collections focused
"Winter Jackets" is better than "All Products." Smaller, well-organized collections help your AI serve up more relevant results.
Update regularly
Remove discontinued items, update prices, and add new products. Stale collections lead to frustrated customers.
Troubleshooting
AI isn't showing collection items
- Make sure you have at least one collection with items
- Check that items have titles (required for search indexing)
- Give newly added items a moment to be indexed—it's not instant
Images aren't displaying
- Verify the URL starts with
https:// - Check that the URL points to a PNG or JPEG file
- Make sure the image is publicly accessible (not behind a login)
CSV import issues
- Check that your file is under 10 MB and has fewer than 1,000 rows
- Make sure it's a valid CSV with column headers
- Verify that every row has a title—it's the only required field
Shopify products not appearing
- Confirm your Shopify integration is connected in Settings → Integrations
- Check that the sync has completed
- Try disconnecting and reconnecting the integration if products seem stuck
